Sales and Marketing Manager

The Tulsa Botanic Garden is seeking a strategic, organized and creative Sales and Marketing Manager to increase visibility, attendance and engagement through promotion of programs, events and campaigns.  This is a key role responsible for ensuring compelling storytelling, strong visual design and brand consistency across all marketing and communications.

As a non-profit organization we work together to promote the beauty of plants and nature while building and sustaining an exceptional botanical garden.  We are passionate about educating guests, rooting ourselves in the community and using our creative minds and skills to further the growth of the Garden.

The ideal candidate brings hands-on marketing expertise, a keen eye for design and the ability to collaborate across departments to position the Garden as a valuable community resource.

Job Duty Highlights:

  • Develop and implement a dynamic marketing and communication strategy that aligns with the mission and vision of the Garden
  • Collaborate with all departments to produce public-facing content including invitations, public program and private event materials
  • Utilize the CRM, ticketing software and social media platforms to promote marketing efforts and analyze the effectiveness of campaigns
  • Oversee and manage ticketing software while creating ticketing and registration pages
  • Develop an annual marketing and advertising schedule including marketing campaigns, press releases based on ongoing events, programs, projects, etc.
  • Oversee and manage the Garden’s website and development of email marketing, SMS and social media to meet department goals while creating designs for print, digital and video to optimize engagement and awareness
  • Plan and execute paid advertising and media buys to increase attendance and drive revenue generation
  • Build and maintain strong relationships with media outlets and manage public relations while conducting programs and talks to community-based groups
  • Routinely track and report marketing metrics to monitor and analyze the effectiveness of efforts
  • Assist with special events and programs as needed, including seasonal nights and weekends

Job Qualifications and Highlights:

  • 2-3 years marketing experience preferred
  • Experience managing brand and marketing strategies and analyzing key performance indicators
  • Strong digital marketing skills including web design, CRM tools, AI integration and social media platforms
  • Excellent verbal and written skills including editing and storytelling
  • Creative and organized with a keen sense of visual design
  • Familiarity with outdoors/gardens
  • Microsoft, Windows and Adobe preferred
  • Valid Driver’s License and reliable transportation

Public Programs Coordinator

This position will drive ticket sales and attendance through the creation, planning and implementation of public programs including educational and cultural events to enhance the visitor experience and achieve both the mission and vision statements of the Tulsa Botanic Garden. This position has a strong focus on revenue generation. In addition to primary responsibilities, this role supports cross-functional coordination and assists with day-of private event execution alongside the complimentary coordinator as directed by the Vice President/CAO.

Essential Job Responsibilities:

  • Create, plan and implement a variety of events including seasonal events, donor, member and public programming with the mission of the Garden to expand our audience and increase attendance, ticket sales and revenue
  • Develop an annual calendar of events to be shared across departments
  • Work with the Marketing team to ensure effective and consistent promotion and branding
  • Track and report monthly event metrics and guest engagement while ensuring exceptional guest experiences with post-event feedback forms including ticket sales, attendance, expense and revenue
  • Prepare for events, such as day-of coordination, floorplans, communications and cleaning
  • Facilitate on-site, day-of timeline, logistics and preparations, including event furniture and signage, setup/tear down, vendor/catering logistics, clean up and closing
  • Coordinate with clients and vendors while maintaining a positive working relationship
  • Responsible for planning, promotion and implementation of field trips, tours and promotions
  • Create and maintain educational components for public programming and special ticketed events including field trip kits, education stations, scavenger hunts, and Story Walk
  • Implement, and manage a volunteer program including assessing department needs, soliciting groups, software maintenance, guidelines, training, and day-of delegation
  • Prepare contracts and invoices in conjunction with the Vice President/CAO
  • Collaborate with all departments to execute public programs, fundraisers, and other events
  • Respond to inquiries related to public programs, field trips, tours etc. with emphasis on sales, implementation and customer service excellence
  • Organize and maintain inventory and prepare event materials, furnishings and supplies
  • Assist the Vice President/CAO to prepare and manage the annual budget
  • Prepare and communicate necessary information and documents to the appropriate Board, Committee and staff members
  • Answer incoming phone calls and direct calls accordingly as needed
  • Perform other assigned tasks related to the position

Minimum Job Qualifications and Competencies:

  • Event planning/management experience – Minimum 1-2 years experience
  • Passion for the outdoors
  • Experience managing complex event logistics
  • Exhibit a high degree of professionalism and discretion
  • Strong communication and organizational skills
  • Positive and enthusiastic personality with exceptional customer service skills
  • Flexible and adaptive to change
  • Effective problem-solving and multitasking skills
  • Willingness to work evenings and weekends in excess of forty (40) hours per week if needed
  • Microsoft, Windows, Square and CRM experience preferred
  • Valid Driver’s License and reliable transportation
  • Ability to drive a golf cart type vehicle

Visitor Center Associate

The Tulsa Botanic Garden is hiring a part-time Visitor Center Associate.  We are looking for an energetic, positive and outgoing person to create welcoming and positive interactions, as well as a personalized experience for each guest. 

The Visitor Center Associate serves as the front-line ambassador for the Garden. This will be a guest-centric role therefore customer service, hospitality and a bright personality will be key.  Weekend and evening availability is required.

Job Duty Highlights:

  • Greet and orient guests while providing information, promoting and answering questions regarding memberships and upcoming events and programs
  • Process all admissions, memberships and Gift Shop transactions
  • Use established procedures to open and close the Visitor Center and other facilities including cleaning and preparing guest areas
  • Tidy and restock Gift Shop items
  • Mitigate guest concerns, gather and share feedback with management
  • Assist with answering phones

Job Qualifications and Highlights:

  • Microsoft and Windows proficiency
  • Current ABLE license preferred or ability to obtain
  • Familiarity with the outdoors/gardens is favorable
  • Strong customer service skills
  • Display a friendly and helpful demeanor

Gardener

The Tulsa Botanic Garden is looking for a hard-working and team-focused Gardener to assist with maintaining the high-profile landscapes and infrastructure of the Garden.  We are looking for a positive, self-driven person with a willingness to perform tasks as directed across both horticulture and operations departments.  The ideal candidate will have hands-on experience in horticulture or landscape work, along with the ability to maintain equipment and perform basic repairs and general handiwork.

Job Duty Highlights:

  • Perform physical gardening work that is associated as part of a routine outdoor job such as weeding, general garden upkeep and installing new plantings
  • Assist with maintenance of turf areas, outdoor spaces around buildings, nature trails, fence lines, irrigation, etc.
  • Perform operational tasks such as mowing, string-trimming and brush hogging
  • Safe and responsible use and basic maintenance of all garden tools and equipment
  • Work collaboratively with both horticulture and operations staff to support projects across the Garden’s 170 acres
  • Interact with guests and answer general questions
  • Work with the horticulture staff to plan, install, and take down our annual holiday light display, including wrapping trees with lights, constructing special features, lifting/operating ladders, etc.
  • Assist with special events and programs as needed, including seasonal nights and weekends

Job Qualifications and Highlights:

  • General horticulture and landscape management knowledge
  • Small power equipment operation and maintenance experience
  • Handiwork trade tools and equipment experience preferred but not required

Working Conditions and Environmental Exposures:

The position is primarily an active, outdoor position that will include repetitive bending, stooping and squatting with occasional climbing, kneeling or crawling.  General duties of the position will require manual dexterity such as grabbing, twisting and digging as well as the ability to handle small seeds and manipulate and operate hand tools.  While performing the duties of this job, the employee will have exposure to outside weather conditions and uneven, unpaved terrain.  The noise level in the work environment is usually moderate but could be very loud depending on the task (appropriate PPE should be properly worn during the tasks).  The employee will be asked to lift and move 50+ pounds.
