Art Fair: Artist Information

Tulsa Botanic Garden is hosting its inaugural art fair on Oct. 3 & 4, 2020 as part of Autumn in the Garden. We are inviting up to 20 Oklahoma artists to participate. The event will be held outdoors on the lawn at Tulsa Botanic Garden, 3900 Tulsa Botanic Drive, Tulsa OK, 74127. The art fair will be free for Garden Members to attend and $8 for ages 13+ and $4 (ages 3-12) for non-members (these are the regular admission fees).


September 1, 2020 (Extended to Sept. 4!) Entry Forms with photos due
September 4, 2020 – Artists will be notified of their participation status
September 11, 2020 – Booth Fee due
October 2, 2020 – Set-up 9 a.m. – 8 p.m. (time slots will be assigned for vehicle access)
October 3, 2020 – Set-up 7 a.m. – 9:30 a.m. (there will be no vehicle access in the morning)
October 4, 2020 – Load out will start just after we close at 5:00 p.m. This process will require patience, as vehicle access will be limited to a few at a time. Garden staff will be on hand to facilitate.

Saturday, October 3, 10 a.m. – 5 p.m. Sunday, October 4, 10 a.m. – 5 p.m.

· Booth spaces will be approximately 10’ x 10’
· Artists must supply their own tents and display items
· Booth Fee: $25.00
· Garden will provide coffee and light refreshments for artists.
· Garden will provide booth-sitters and staff to assist with loading and unloading
· Garden will provide overnight security on October 2 and October 3.
· Artists are responsible for all of their own sales. Wifi is available.

We plan to hold this event rain or shine. Artists are responsible for securing and protecting their product, display, and personal items from the elements. If inclement weather forces us to cancel one or both days, we will refund your booth fee. If you decide independently to not participate due to weather, your booth fee will not be refunded.

Artists age 18 and above are eligible. Artists must sell and display only original artwork as described on the entry form. Artists may bring one helper and must be present for the duration of the event.

Artists are required to report their sales and pay applicable sales tax to the Oklahoma Tax Commission. Artists with a valid Sales Tax Permit must provide Tulsa Botanic Garden with their permit number by September 11, 2020. Tulsa Botanic Garden will provide the appropriate forms to artists at the beginning of the event, and these forms, along with payment, will be collected by Garden staff on Sunday at the conclusion of the event. We appreciate your compliance with this!

Our outdoor venue provides ample spacing between booths and between people, and we intend for this event to be as safe as possible. Depending on the status of cases in the Tulsa area at the time, the following precautions may be taken: We may require artists and visitors to wear face masks. We may limit the number of visitors allowed into the Garden at one time. We may have to cancel the event entirely, in which case booth fees will be fully refunded. Any of these decisions will be communicated to artists via email no later than Monday, September 29, 2020.
